Emails

Reliance on email is growing. The purpose of this aspect of the review is to ensure the following:

  • The email server has all recent Microsoft updates/fixes applied.*
  • An export of all mailboxes is run. This is to ensure, should your email storage crash, that individual email boxes can be restored. (There needs to be the appropriate amount of disk space available to take advantage of this option, or see under Data Backups for details of purchasing a removable USB2 drive for this purpose.)
  • Anti-virus software is sufficient and regularly updating.
  • Anti-spam solutions are in place if needed.
  • Your server has not been placed on any Internet black-lists which will impair your ability to contact some of your clients.

    Black-lists are maintained by Internet servers which hold lists of all the email servers from which spam mail has been received. Many companies subscribe to these servers to reduce the amount of spam mail they receive. Often malicious companies on the Internet will attempt to use your server to send out their spam email, sometimes, if not properly protected, they are successful and your server address will then be added to a black-list.

  • The size of the email database is a reasonable size for the number of staff in your organisation.
