Senior Receptionist (Front of House)

Wavex Technology is a dynamic and forward-thinking IT support firm, based in great location (London, E1) looking for full-time Senior Receptionist.

About the role

Reporting to the Senior Office Manager/PA, the Senior Receptionist will be the first point of contact for Wavex visitors, incoming calls and general queries as well as supporting the business with administration duties. This is a busy role, where efficiency, proactiveness and being independent is imperative. You will be professional, organised and willing to learn about the business, in order to handle enquiries efficiently and juggle a challenging workload.

Typical working hours will be 8:30am - 5:30pm (8hr per day which will include 1 hr lunch break) but we would expect these to flex (time to time), depending on business requirements.

Responsibilities

Reception
  • Maintain the upkeep and presentation of Front of House to the highest standards
  • Greet all visitors to the organisation, ensuring they are dealt with in a professional manner
  • Manage the guest spreadsheet for the main reception
  • Own the door security system
  • Own the management of the Health and Safety policy and procedure
    • Conduct briefings for all Wavex visitors
    • Deliver new employee induction and ensure all relevant documentation is signed/scanned/filled
    • Manage the up-keep of the main floor area (i.e. ensure it is cleared from spare equipment, cables, etc.)
    • Book training courses for First Aid and Fire Warden – ensure the spreadsheet is kept up to date
    • Keep first aid boxes up to date
    • Keep the accident log book up to date
  • Filter general information, requests and queries. Ensure the information is passed on to the right person in a timely manner
    • Screen incoming calls and voicemail. Keep the incoming calls log up-to-date
    • Be the gate-keeper and learn about the business so as to be able to deal with queries and make judgements on their significance independently
    • Manage incoming and outgoing post, and its distribution, courier bookings and travel arrangements
    • Manage incoming deliveries. Ensure the delivery spreadsheet is up to date
  • Manage reception manual and keep it up-to-date. Review on a regular basis and suggest improvements
  • Manage Speakers Corner (weekly company update information delivered by managers to the company). Coordinate agenda and prepare bulletin for all staff afterwards
  • Own the meeting room policy and procedure. Proactively investigate best practice and suggest improvements to allow smooth business operation
    • Manage meeting room calendars. Prepare meeting rooms in a timely manner. Ensure refreshments are set up before meetings and tidied up afterwards
  • Manage the office stationery inventory (including printers and toners, their supply, replacement and recycling)
  • Manage the store room – organize, keep it tidy and safe
  • Arrange lunches for management, clients and in house training sessions as and when required
  • Assist in management of the notice boards around the office. Ensure that the displayed information is accurate and up-to-date
  • Scan invoices and perform credit control calls as and when required
  • Work with other colleague receptionist to ensure smooth handover between shifts
    • Ensure information related to specific events and/or tasks is recorded and passed in accurate and efficient manner between shifts. Develop and maintain clear and appropriate communication system.
Office facilities
  • Keep the kitchen area tidy at all times
    • Manage kitchen supplies (milk, fruits, etc.). Ensure these are brought into the kitchen first thing in the morning
  • Arrange and maintain office maintenance queries as and when required
  • Manage the communication with the cleaners
Other duties
  • Support the Sales Team with screening incoming sales calls. Learn about the business to be able to comfortably take enquiries, judge their importance and redirect to the appropriate person in a timely manner
  • Support HR with coordination of business and social events for Wavex staff and Directors
  • Support Recruitment with new employee onboarding process coordination (prepare New Starter packs and ensure the right information is always up-to-date)
  • Support Finance and other departments across the business with filing, scanning and binding of documents as and when required
  • Assist with diary management as and when required
  • Perform ad-hoc projects as and when required
  • Be an ambassador of Wavex. Promote and embrace Wavex values internally and externally
Experience and skills
  • Sound Microsoft Office experience, including use of Word, Excel and PowerPoint (these will be used on daily basis)
  • Clear and fluent English skills (both writing and speaking)
  • Experience of managing the reception area independently
  • Experience of dealing with pressure and high work volume
  • Experience of working within defined processes
  • Strong organizational skills
  • Strong communication skills. Ability to work with people at all levels
  • Strong attention to detail
  • Experience of working in a fast-paced environment
  • Experience of supporting other business functions (i.e. sales team and screening sales calls)
