Senior Office Administrator

Wavex Technology is looking for a full-time experienced Office Administrator who will take on the responsibility for managing the office facilities to ensure that all business functions run efficiently and smoothly. You will also be the first point of contact for Wavex’ visitors, incoming calls and general queries. This is a busy role, where efficiency and working to deadlines is imperative. You will be organised and willing to learn about the business in order to handle enquires efficiently and juggle a challenging workload.

You will be supported by a junior apprentice, who will assist you with some of the duties.

Hours: 8:00 am – 4:30pm (Monday – Friday), 7.5hrs per day

About the role

You will be responsible for managing office administration and reception duties. You will support core departments of the business, ensuring smooth running of each division.


Office Administration:
  • Ensure the office looks neat and tidy at all times, including kitchen area
  • Manage the Company H&S function and perform risk assessments. Follow up appropriately
  • Manage the Fire Warden responsibility
  • Manage the First Aider responsibility. Keep the accident log and the first aid kits up-to-date
  • Attend the building management meetings. Assist with managing, sourcing and supervising building facility contractors
  • Manage Company assets
  • Manage office requirements of the sublet tenants
  • Manage the DSE (Display Screen Equipment) online courses, ensuring that requests are completed. Review on regular basis.
  • Manage the store room – organise, keep it tidy and safe
  • Enforce the clean desk policy and encourage staff to take pride in their workplace environment
  • Support specific divisions with administrative duties (filing, scanning, formatting and binding documents)
  • Keep the office manual up-to-date. Review and suggest improvements
  • Work closely with HR Manager and department heads to plan Company social events, ensuring they run smoothly
  • Work with Finance Director to set the budget for the office supplies (stationery, printer tonners, weekly supply of milk and fruits, etc.). Manage the supply, ensuring best value at all times and report on its status on agreed basis.


  • Be the public face of Wavex, hosting our VIPs and other guests. Perform visitor H&S briefings
  • Manage meeting room bookings
  • Be the gate-keeper for all incoming telephone enquiries – review and forward voicemail (especially for the sales department), screen incoming calls and re-direct as appropriate
  • Sort and distribute post
  • Manager courier enquiries
  • Manage business travel arrangements for all staff
  • Support Finance team – scan invoices, perform credit control calls

Executive Team support:

  • Basic diary management
  • Set up meetings and calls
  • Ad-hoc projects
  • Additional duties may be added, once established in the role

HR support

  • Set up and coordinate new starter inductions. Ensure they run smoothly and are completed in timely manner
  • Write HR letters as required
  • File and scan confidential documentation
  • Format documentation and ensure these remain consistent throughout
  • Ensure the company org chart is updated at all times
  • Assist is managing staff PDRs (Personal Development Plans) schedules to ensure they run regularly and are completed in timely manner

Experience and skills required
  • GCSEs, A-C passes
  • At least 3 years’ experience managing office environment
  • Experience of MS Office
  • Customer support experience
  • Ideally Fire Warden training but it will be provided if necessary
  • First Aid training but it will be provided if necessary
  • H&S training but it will be provided if necessary
